Who is responsible for your information?

Alexandra Children’s Home Ltd is responsible for the personal information collected through this website. Our company number is 15904563 and our registered office is 148 Cranbrook Road, Ilford, Essex, England, IG1 4LZ. This is a company correspondence address.

For privacy questions or requests, email info@alexandrachildrenshome.co.uk.

This policy covers website use and general enquiries. Care records, professional referrals and recruitment may require separate privacy information.

Information we collect

  • Online enquiries: your name, email address, optional organisation, message and submission time. We also record whether an email notification was accepted for sending.
  • Direct emails and complaints: your contact details, the information you choose to provide and related correspondence.
  • Website security: hosting and security providers may process technical information such as your IP address, browser information, requested pages and the time of a request.

Providing information is voluntary. The form requires a name, email address and message so that we can understand your question and respond. Please do not include a child’s personal details, health information, photographs, care records or sensitive case information.

How and why we use information

We use enquiry information to respond to questions, provide requested information, consider feedback and handle concerns or complaints. We rely on our legitimate interests in communicating with people who contact us and addressing matters raised with our organisation.

We use technical information and Cloudflare Turnstile to protect the website and reduce automated misuse, relying on our legitimate interests in operating a secure and reliable service. Where we must retain or disclose information to meet a legal obligation, that obligation provides the basis for the relevant processing.

The website does not subscribe you to marketing, send your enquiry to an AI service or make automated decisions about care, eligibility or placement suitability.

How the enquiry form works

The form sends your details to our server hosted by Vercel. The server checks the information and verifies a Cloudflare Turnstile security token before storing the enquiry in our dedicated Supabase database, located in the London region.

Resend sends the enquiry details to info@alexandrachildrenshome.co.uk so our team can respond. Your email address is included as the reply-to address. If the email notification fails, the enquiry remains in the database and the form explains how to contact us directly.

Our website code does not send your enquiry fields to Cloudflare. Turnstile processes browser and technical signals for its security check. See our cookie information.

Who receives information

Information is available to people who need it to respond to your enquiry or deal with the matter you raise, and to the hosting, database, security, email and IT providers supporting that work. Our enquiry mailbox uses Microsoft 365.

We may share information with an appropriate authority where required by law or where necessary and lawful to address a safeguarding concern. Please do not treat the general enquiry route as an emergency or confidential referral channel.

Our website providers

International processing

Although our Supabase database is in London, our providers may process information in other countries. Resend stores message content and delivery records in the United States. Its data protection information describes standard contractual clauses and participation in the Data Privacy Framework, including the UK Extension.

Our providers’ data processing terms describe the safeguards they apply to international transfers, including adequacy arrangements or contractual safeguards with UK transfer provisions, as applicable. Contact us if you would like information about the safeguards relevant to your enquiry.

How long we keep information

We keep enquiry and complaint information for as long as it is needed to deal with the matter and any necessary follow-up. The relevant period depends on whether the matter remains open, whether further correspondence is needed, and any applicable recordkeeping duties or legal claims.

Hosting, security and email providers also hold operational records under their service arrangements. You can contact us to ask about information held about you or request its deletion. We may need to retain some information where there is a lawful reason to do so.

Your privacy rights

Depending on the circumstances, you may have rights to access your personal information, correct it, request deletion, restrict its use, object to processing or receive certain information in a portable format. These rights have conditions and are not absolute.

Your right to object: where we rely on legitimate interests, you can object to the processing on grounds relating to your particular situation.

Email info@alexandrachildrenshome.co.uk to exercise a right or ask a question. We may need proportionate checks to confirm your identity or authority before releasing information. Please do not send identity documents until we explain how to provide them appropriately.

Privacy complaints

Address complaints to the Complaints Officer at our main email address. You can also raise a complaint with the Information Commissioner’s Office, the UK data protection regulator.

This website is not a place to upload care records or share sensitive information about a child. Ask the team about the appropriate process before providing further details. If you are a young person and would like help understanding this policy, you can ask us for a clearer explanation.

If someone is in immediate danger, call 999. See our urgent-help guidance.
